A setup fee is priced on your hours, not on the software.

Setup fees in this market range from zero to fifteen thousand dollars for work that looks similar from the outside, which tells you the number is not being derived from anything. Operators copy a figure from a community post, get pushed back on it once, and drop it. The fix is to build the fee from the bottom up. Start with the hours the build actually takes, including the ones nobody counts: discovery calls, test-and-revise rounds, CRM wiring, and the training session where the client's front desk learns what the agent will and will not do. Then price those hours at what your time is worth.

Complexity and vertical are where most quotes go wrong. The same nominal scope takes materially longer in a dental practice than in a landscaping company, because PHI handling, a scheduling-system integration, and staff training are all real hours that never appear in the sales conversation. Finance and insurance carry disclosure language, recording consent, and a compliance sign-off whose timeline you do not control. This calculator applies those multipliers explicitly, so when a client asks why the medical build costs more you have an answer that is about work rather than about willingness to pay.

The last output is the one that changes behavior: how many months you work before a client is profitable if you waive the fee. Against a typical retainer that is often one to three months of unpaid build, and any churn inside that window means the deal cost you money.
