HVAC is the most seasonal business in home services, and that seasonality is exactly what breaks phone coverage. In a shoulder month, a two-person office can answer most calls. In the first week of a heat wave, inbound volume can jump 60-100% overnight while your CSRs are simultaneously dispatching techs, ordering parts, and calming down customers whose systems died at 9 PM. This calculator separates the year into 9 off-season months and 3 peak months. For each, it multiplies your inbound call volume by your missed-call rate to estimate calls that go unanswered, applies your booking rate to convert recovered calls into jobs, and multiplies by your average service ticket. The peak months use your call multiplier, which is where most shops discover the bulk of their lost revenue hides. The ROI line compares annual recovered revenue against twelve months of the AI answering cost you entered.

The assumptions are deliberately conservative. It assumes the AI only recovers calls you currently miss, ignoring the follow-up calls, maintenance-plan renewals, and replacement leads a well-built agent also produces. It assumes booked jobs at your normal ticket value, even though after-hours emergency work usually bills higher. If the number the tool shows you is big, the real number is bigger.
